1. Who we are

[Company Name] Limited, trading as HostClub.ie, is the data controller for the personal data described here. Contact our data protection lead at privacy@hostclub.ie or write to us at [Registered office address], Ireland.

2. What we collect

  • Account details: name, company, address, email, phone and VAT number.
  • Billing details: invoices and payment records. Card details are handled by our payment provider and never stored on our servers.
  • Domain contact data that registries require for domain registration.
  • Support records: tickets, emails and call notes.
  • Technical data: server logs, IP addresses and security events needed to run and protect our services.
  • Contact form enquiries you send us.

3. How and why we use it

  • To provide the services you order and manage your account (performance of a contract).
  • To meet tax, accounting and registry obligations (legal obligation).
  • To keep our network secure, prevent fraud and improve our services (legitimate interests).
  • To send marketing emails, only where you've agreed, and you can unsubscribe at any time (consent).

4. Who we share it with

We don't sell your data. We share it only with service providers who help us run HostClub (such as our data-centre, payment and email-delivery providers), domain registries when you register a domain, and authorities where the law requires it. Our providers act under contracts that protect your data.

5. Where your data is stored

Our hosting servers are located in the European Union. If a provider processes data outside the EEA, we make sure appropriate safeguards are in place, such as the European Commission's Standard Contractual Clauses.

6. How long we keep it

We keep account and billing records for 6 years after your account closes, as required by Irish tax law. Website and email content is deleted within 30 days of a service ending. Server logs are kept for up to 90 days. Contact form enquiries that don't lead to an account are deleted after 12 months.

7. Your rights

Under GDPR you can ask to access, correct, delete or move your personal data, object to or restrict how we use it, and withdraw consent at any time. Email privacy@hostclub.ie and we'll reply within one month. You also have the right to complain to the Data Protection Commission (dataprotection.ie).

8. Cookies and similar storage

This website doesn't use advertising or analytics cookies. It stores one small preference in your browser (whether you prefer monthly or yearly prices) so the pricing pages remember your choice. Our client area uses essential cookies to keep you logged in. If we add analytics later, we'll ask for your consent first.

9. Security

We protect data with encryption in transit, access controls, staff confidentiality obligations and regular security updates. If a breach affects your personal data and puts you at risk, we'll tell you and the Data Protection Commission as the law requires.
